How OwnerSide handles your information
Effective September 27, 2026
OwnerSide LLC ("OwnerSide," "we," "us," or "our") provides owner-side financial verification and review services for real-estate portfolios. This Privacy Policy explains what information we collect, why we use it, how we protect it, how long we keep it, when we share it, and the choices available to you.
1. Information we collect
Depending on how you use OwnerSide, we may collect:
- account and contact information such as name, email address, organization, and account preferences;
- portfolio and property information you provide;
- financial and operational records such as owner statements, general ledgers, rent rolls, leases, invoices, contracts, debt information, CapEx support, and related documents;
- bank-account and transaction information you choose to connect through Plaid or provide through statements or exports;
- accounting-system data you authorize us to retrieve, such as QuickBooks information;
- communications, support requests, review notes, and product feedback; and
- technical information needed to operate and secure the service, such as authentication events, device/browser information, and audit logs; and \n
- public-website interaction information such as page views, referral/campaign source, major button clicks, scroll milestones, device class, and anonymous visitor/session identifiers.
2. Plaid and connected financial accounts
If you connect a financial institution using Plaid Link, your bank credentials are entered through Plaid and are not collected by OwnerSide. With your authorization, OwnerSide may receive permissioned financial information from Plaid, including account details, transaction history, and bank statements for the products you choose to use.
We use connected-account information to compare financial reporting with independent source evidence, identify discrepancies or exceptions, and support the review you requested. We do not use Plaid connections to initiate payments or move money.
You may disconnect a linked financial institution from OwnerSide. When disconnected, OwnerSide revokes provider access where supported and stops ongoing retrieval from that connection.
3. How we use information
- authenticate users and maintain account access;
- perform requested financial and operational reviews;
- compare reports against bank activity and source documents;
- produce findings, reports, and follow-up items;
- provide customer support and service communications;
- detect fraud, abuse, security events, and technical problems;
- maintain audit trails and satisfy legal, contractual, or compliance obligations; and
- improve OwnerSide through controlled, privacy-preserving product and accounting feedback processes; \n
- understand where visitors encounter friction on the public website and measure conversion from public pages through checkout; and \n
- send limited checkout-recovery messages when a signed-in customer opens secure checkout but does not complete payment, subject to an unsubscribe control and automatic stop rules.
4. How we share information
We do not sell your personal information. We may share information with service providers that help us operate OwnerSide, such as hosting, database, security, document-processing, model, email, billing, financial-data, and accounting-integration providers. They receive information only as needed to perform services for OwnerSide and are subject to applicable contractual or platform safeguards.
For public-site measurement, OwnerSide may use Vercel Web Analytics for anonymized, cookie-free aggregate traffic measurement. OwnerSide also uses Meta Pixel on approved public marketing pages for advertising measurement and conversion attribution, unless your browser sends Global Privacy Control. When configured, Meta Conversions API provides a server-side fallback for the same public page-view and successful lead-conversion events using limited technical request and Meta click/browser identifiers; browser and server copies use matching event IDs so Meta can deduplicate them. Meta Pixel is not loaded on the owner intake, authenticated OwnerSide login, Command, or financial portal. OwnerSide does not send form contents, portfolio values, financial records, connected-account data, or customer documents to Meta. OwnerSide does not currently run Microsoft Clarity or another session-replay tool.
\nWe may also disclose information when required by law or valid legal process, to protect the rights or security of OwnerSide or others, or in connection with a business transaction subject to appropriate confidentiality protections.
5. Security
OwnerSide maintains administrative, technical, and organizational safeguards designed to protect sensitive information. These include authenticated access, role- and tenant-scoped authorization, private storage, encryption in transit, encryption at rest through our infrastructure providers, additional encryption of selected integration credentials, malware scanning for uploaded documents, audit logging, and production security release controls.
6. Data retention and deletion
OwnerSide maintains a defined Data Retention and Deletion Policy and runs automated retention enforcement daily. The current schedule includes:
- Active OwnerSide profile and completed review records: retained while you choose to maintain your OwnerSide profile/service, unless a shorter legal or contractual rule applies.
- Disconnected Plaid raw account and transaction data: deleted no later than 30 days after the Plaid Item is disconnected.
- Disconnected QuickBooks raw source and report data: deleted no later than 30 days after the connection is disconnected.
- Rejected, scan-error, or abandoned quarantined uploads: deleted no later than 30 days after upload.
- Security and audit events: retained for 24 months by default, unless a documented legal or security hold requires longer retention.
- Billing, tax, contractual, or legally required records: retained only for the period required by applicable law, contract, fraud prevention, or dispute-resolution obligations.
Disconnecting an integration stops future retrieval and starts the applicable 30-day raw-integration retention period. A point-in-time copy already incorporated into a completed review may remain with that review while you keep the OwnerSide profile.
The authenticated account owner can use OwnerSide's self-service Delete all data control. That process removes customer evidence, quarantine objects, private review artifacts, tenant-scoped customer records, and the OwnerSide login, subject only to narrowly required legal, billing, fraud-prevention, or security records.
7. Your choices and rights
Depending on your location and relationship with OwnerSide, you may have rights to request access to, correction of, or deletion of personal information; obtain information about how your data is used; withdraw certain permissions; or disconnect connected financial accounts.
\nMeta Pixel advertising measurement runs on approved public marketing pages by default, is disabled when the browser sends Global Privacy Control, and is not loaded on owner intake, login, Command, or financial-portal surfaces. OwnerSide does not currently use session replay on the public site. Checkout-recovery emails include a control to stop future checkout reminders without disabling essential account, security, billing, or service communications. Email delivery, open, and click events may be recorded for those recovery messages; open data can be imprecise because some email clients automatically load tracking resources.
To make a privacy or data request, contact privacy@ownerside.ai. We may need to verify your identity and authority before completing a request.
8. Business customer information
OwnerSide primarily serves business customers and property owners. When an organization provides information about employees, representatives, tenants, vendors, or other individuals, the organization is responsible for having appropriate authority to provide that information for the requested business purpose.
9. Children
OwnerSide is a business service and is not directed to children. We do not knowingly collect personal information from children through the OwnerSide service.
10. Changes and policy review
We review our retention and privacy policies at least annually and when material legal, product, provider, or architecture changes occur. We will post the current Privacy Policy on this page and update the effective date when material changes are made.
